Terms & Conditions

These Terms and Conditions govern the agreement between GY Africa Adventure (“the Company,” “we,” “our,” or “us”) and you (“the Client,” “Traveler,” or “you”) regarding all tours, safaris, trekking adventures, transportation, accommodations, and related travel services provided by the Company.

Please read these Terms and Conditions carefully before confirming your booking. By making a reservation with GY Africa Adventure, you acknowledge that you have read, understood, and agreed to be bound by these Terms and Conditions.

If you require clarification regarding any aspect of these Terms and Conditions, please contact us before confirming your reservation.

1. Booking and Payment

1.1

All bookings are subject to availability and will only be confirmed upon receipt of the required payment.

1.2

A non-refundable deposit of 50% of the total tour cost per person is required at the time of booking. For certain tours or special arrangements, a higher deposit may be required and will be communicated before confirmation.

1.3

Gorilla permits (where applicable) must be paid in full at the time of booking. Gorilla permit payments are strictly non-refundable.

1.4

The remaining balance must be paid no later than 30 days prior to the commencement of the tour unless otherwise agreed in writing. In selected cases, partial payment upon arrival may be accepted. Failure to pay the balance by the due date may result in cancellation of the booking and applicable cancellation charges.

1.5

Bookings made within 30 days of departure require full payment at the time of booking.

1.6

Clients must provide complete and accurate passenger information as it appears on their passport when making a booking.

2. Prices

2.1

All prices are quoted in United States Dollars (USD) unless otherwise stated.

2.2

Prices are subject to change until a booking has been formally confirmed.

2.3

Unless otherwise stated, quoted prices generally include:

  • Accommodation as specified in the itinerary.

  • National park and conservation area entrance fees.

  • Ground transportation and domestic flights where indicated.

  • Services of professional safari guides and drivers.

  • Meals as specified in the itinerary.

  • Drinking water during safari excursions.

  • Scheduled game drives and activities listed in the itinerary.

2.4

Quoted prices do not include:

  • International flights.

  • Visa fees.

  • Travel insurance.

  • Personal expenses.

  • Laundry services.

  • Alcoholic and soft beverages unless specified.

  • Gratuities and tips.

  • Optional activities.

  • Any services not specifically included in the itinerary.

2.5

GY Africa Adventure reserves the right to substitute accommodations with properties of a similar or higher standard where necessary.

3. Descriptions and Services

3.1

All information, descriptions, and itineraries are provided in good faith and are based on the latest information available at the time of publication. GY Africa Adventure shall not be held liable for minor variations beyond our control.

3.2

All safari vehicles are maintained to safe operational standards. In the event of vehicle breakdowns, road conditions, or unforeseen delays, we will make every reasonable effort to minimize disruptions; however, we accept no liability for delays or schedule adjustments caused by such circumstances.

3.3

The Company reserves the right to utilize carefully selected subcontractors and service providers where necessary.

3.4

While our guides use their expertise to maximize wildlife viewing opportunities, sightings of specific animals cannot be guaranteed.

4. Complaints

4.1

Any complaint or dissatisfaction during your tour should be reported immediately to your guide, driver, or Company representative to allow an opportunity for prompt resolution.

4.2

If the issue remains unresolved, a written complaint must be submitted to GY Africa Adventure within 28 days of the completion of your tour. Complaints received after this period may not be considered.

5. Cancellations and Refunds

5.1 Cancellation by the Client

  • More than 30 days before departure: 50% of the deposit forfeited.

  • Between 30 and 15 days before departure: 50% of the total tour cost forfeited.

  • Less than 15 days before departure: 100% of the total tour cost forfeited.

  • Gorilla permits remain non-refundable at all times.

  • No refunds will be issued for unused services, missed arrivals, delayed arrivals, or voluntary withdrawal from any part of the tour.

5.2 Cancellation by GY Africa Adventure

The Company reserves the right to cancel a booking due to:

  • Non-payment of outstanding balances.

  • Force majeure events.

  • Political instability.

  • Natural disasters.

  • Airline cancellations.

  • Government restrictions or other circumstances beyond our control.

In such circumstances, clients may be offered:

a) Alternative arrangements of comparable quality and price.

b) A lower-priced alternative with the difference refunded.

c) A higher-priced alternative with the difference payable by the client.

d) A full refund of payments made.

6. Alterations

6.1 Changes Requested by the Client

We will make every reasonable effort to accommodate requested changes to confirmed bookings. Additional costs may apply, and availability cannot be guaranteed.

6.2 Changes Made by GY Africa Adventure

We reserve the right to modify itineraries where necessary due to operational requirements or unforeseen circumstances. Whenever possible, alternative arrangements of equal or higher quality will be provided.

6.3 Changes by Third-Party Suppliers

We are not responsible for changes made by airlines, hotels, lodges, camps, or other suppliers. However, we will communicate such changes as soon as reasonably possible.

6.4 Force Majeure

Events beyond our control, including but not limited to severe weather, strikes, political unrest, road closures, natural disasters, epidemics, or government actions, may require itinerary adjustments. Any resulting additional costs may be the responsibility of the client.

7. Liability

7.1

Participation in safaris, trekking, wildlife activities, and adventure travel involves inherent risks. GY Africa Adventure accepts no liability for illness, injury, death, loss, damage, delay, or inconvenience arising during the course of travel.

7.2

Although we work with reputable suppliers and service providers, we cannot accept responsibility for their actions, omissions, or failures.

7.3

Clients participate in all activities at their own risk and are responsible for exercising reasonable care for their own safety and belongings.

7.4

The Company shall not be liable for disruptions caused by events outside its reasonable control, including flight delays, government actions, acts of terrorism, epidemics, pandemics, natural disasters, or civil unrest.

8. Medical Requirements and Travel Documentation

8.1

Clients are solely responsible for obtaining and carrying valid passports, visas, vaccination certificates, health documentation, and travel insurance required for their journey. GY Africa Adventure accepts no responsibility for failure to meet entry requirements.

8.2

Clients must arrive on time for all scheduled transfers, departures, and flights. Costs resulting from missed connections, denied entry, or incorrect documentation shall be borne solely by the client.

9. Tour Authority

9.1

Clients must respect the authority and instructions of guides, drivers, and Company representatives throughout the tour. Failure to comply may result in removal from the tour without refund.

9.2

All travelers are required to comply with local laws, regulations, and national park rules.

9.3

GY Africa Adventure reserves the right to refuse participation or remove any individual whose behavior is considered unsafe, disruptive, abusive, offensive, or detrimental to the enjoyment and safety of other travelers.
